REGISTRATION INFORMATION

Registering for Xtreme is as simple as 1-2-3!

STEP 1 : Send in your $200 non-refundable deposit.

This should be done as quickly as possible to make sure your group gets in before the conference sells out. This deposit will secure your space with an estimated number of attendees until April 15th. Once we have processed your registration, your group will be assigned a confirmation number that will be used in all future registration activities. The $200 deposit will be subtracted from your balance provided your actual number is not less than 50% of estimate.

STEP 2 : By April 15th, send in your $150 per person deposit and Reservation / Rooming List.

The registration deposit is non-refundable and if canceled cannot be applied to a groups’ balance; however it can be transferred to another person as their deposit only. Rooms for the conference will be assigned on a first come, first serve basis, so it is very important to meet this deadline. Xtreme cannot place your group in rooms until we have received this deposit, Reservation Form and Rooming list. If your group is conference only, you should send a per person deposit of $50 along with a completed Reservation Form.

After April 15th, reservations will continue to be accepted as long as space is available.

All spaces for this event are subject to availability, and rooms will be assigned on a first-come, first-serve basis. Once registered you will be permitted to add people to your total as long as space permits. However, once rooming assignments are completed, additional rooms may not be available. Please call our office to verify space availability when adding persons after April 15th.

STEP 3 : By June 1st, send in your final balance.

Balances postmarked after that date will be subject to a $10 late registration fee per person. Balances cannot be paid at the conference. Balance payments are refundable if canceled in writing on or before the end of business on June 4th, after that no refunds will be issued. Please see the Cancellation and Refund section for complete details.

Conference deposits and balances may be paid by church check, money order or can be placed on a Visa, MasterCard or American Express by calling 1-888-987-3636. Please remember, to fully complete the registration process, please contact our offices.

HOUSING INFORMATION

Housing for Xtreme Summer is first provided in one, two and three bedroom condos at Edgewater Beach Resort.

After all condos are filled, housing will overflow to surrounding condos or hotel motel rooms. Sometime after we receive your rooming list and per person deposits your group will be assigned lodging. Your entire group will be housed at the same property. Condos will sleep 4, 6, or 8 and will be assigned by Xtreme based on your group size and condo availability. Groups with an odd number of students or other circumstances not allowing their condos/hotel rooms to be fully filled will be charged an Empty Bed Fee of $129 per unfilled bed. Xtreme will do everything possible to minimize the number of unfilled beds in your rooms. Groups with very specific rooming needs will be better served to book their own accommodations and pay the conference only price. Additional rooms for bus drivers will be charged a $529 rooming charge. This does NOT include admission to the sessions or meals. These rooms may be placed at nearby hotels away from the rest of the group. Please list any bus driver rooms on your rooming list.

RULES & REGULATIONS

Xtreme is set up in such a way to allow individual youth leaders to make and enforce their own regulations for their groups.

However there are a few regulations that will be enforced for the safety and well being of all involved.

• Attendees should be well chaperoned. Xtreme will not provide supervision.
• Any damages done to hotel rooms or any Xtreme property will be the responsibility of the group leader and will be due before leaving the conference.
• Seats may not be saved between sessions. This allows each group to have a chance to see the event from several different perspectives.
• All attendees must wear provided wristbands at all times to attend sessions. Any wristbands lost or broken will be subject to a $5 replacement charge.

CANCELLATION POLICY

Unfortunately, situations arise prohibiting the attendance of registrants at the conference.

For the benefit of all parties and in a spirit of clear communication, we have outlined a refund schedule that will apply in the case of all cancellation:

• Cancellations received prior to June 4th - 100% of monies paid less the non-refundable per person deposit will be refunded.
• Cancellations received between June 4th and the end of business on June 11th - 50% of monies paid less the non-refundable deposit will be given in the form of a credit for use at a future Xtreme Conference.
• Cancellations received after June 11th will not be eligible for refund or credit – No exceptions.
• All deposits including the initial $200 and per person deposits are strictly non-refundable.
  Per person deposits can be used for another persons as their deposit, but cannot be transferred toward the final balance.
• $200 initial deposit will be applied to your final balance, provided your estimated number does not drop by more that 50%.
• Xtreme Conferences cannot be held responsible for events beyond our control (including health, weather and terrorism related causes) prohibiting your attendance.
• All refunds will be issued after the conclusion of the conference.
• If an attendee decides to switch to conference only after submitting their $150 deposit for rooming and meals, the extra $100 of their Step 2 deposit is lost as a processing fee for booking and cancelling accommodations.
• Non-attendance by any speaker or artist is not grounds for refund and all policies still apply. All schedules are subject to change.
